One of the major woes in any project management such as cloud-migration project in an organization is a scenario where costs overrun the budget. It is the responsibility of project manager to ascertain inefficiencies and take corrective actions so as to achieve projects goals; however, it is not always easy (Jamsa , 2013). Keeping the project within the set budget is challenging due to various factors that lead to extra costs.
Based on the case study, there are various factors that can lead to over budget. First is inadequate communication. Before introducing any change within the organization, it is important to inform all the stakeholders with whom the project will impact (Jamsa, 2013). This will minimize resistance since everybody understands their roles and responsibilities on project requirement.
Second is poor planning. IT project such as cloud migration need proper planning is critical. Rushing to implement any stage in project can be quite expensive. Adequate time should be taken to come up with the best way to achieve goals. Poor plan lack scope and failure to consider time and money factors. Little testing and examination can further the cost a project. Before commissioning of any project, enough time should be given on testing. Failure to do this, one will not understand what the problem is or how to fix it leading to extra cost.
Last but not least are inexperienced project management team and poor project management. Individuals involved in the IT project should clearly understand what is required to avoid waste of resources. Failure to do this, time and money will be wasted (Jamsa , 2013). This makes the project expensive beyond the set budget.
There are various steps that are essential in ensuring success and smooth migration into cloud. First is to ensure organizational buy-off. This involves aligning business and IT stakeholders. Second is to foster collaboration between business and IT (Vogt & Hales, 2013). This involves integrating business and IT. Third is to develop all-inclusive cloud migration plan and roadmap. This means that project scope, time and budget should be well defined. Second last step is to scrutinize, design and evaluate the workloads that good to move the cloud (Vogt & Hales, 2013). Last but not least step is to recognize individuals, procedures and tools required to successfully run the migration. Following above step, one is assured of cloud migration success.
